A group calendar can be edited by multiple people, which makes it an excellent way to communicate with your colleagues promote productivity Collaboration among coworkers in small businesses or members of an organizational team.
This tutorial will explain how to set up a group calendar within Microsoft Office 365 applications, such as Outlook web access, Microsoft Outlook and Microsoft Outlook Microsoft Teams . . This session will cover how to share your calendar with others so that they can edit and view events. Also, we’ll discuss creating calendar groups.
There are generally two steps that go into creating a group calendar:
You can create a brand new calendar.
It can be shared with other people so they can see and modify it.
This article will show you how to use Outlook web or desktop version.
Note: Microsoft announced changes to the process of calendar sharing. Microsoft states that the improvements will be only available for calendars being shared among people using Exchange Online. In other words, sharing resource calendars or shared mailboxes can only occur if the recipient agrees to the sharing invitation via Outlook on the Web, Outlook for iOS or Outlook for Android. This is not an internal Exchange server. Microsoft claims that more enhancements are planned.
Outlook Web allows you to create and share a blank calendar
This is how you can create and share an Outlook blank calendar online.
Use a web browser to log into Outlook and choose the calendar.
Select the Add calendar link.
Choose from the options in the menu to the left of this popup Create blank calendar.
You can enter a name and, if desired, choose a charm or color for your calendar.
In the Add to Drop-down menu: Select the calendar group where you would like to see your new calendar.
Right-click the new calendar to locate it in the calendar listing. Or, click here and select “Select the” More … icons) and select Sharing and permissions.
You will need to enter either the email address, or the name of the person who you would like to share your calendar.
You can choose from several calendar options. Pick the Can edit If you wish the recipient to have the ability to change, add or remove events from the calendar, please set permission.
To add more members, repeat steps 9 through 11.
The calendar sharing person will be emailed to them asking for their consent and allowing them to view it. External users cannot edit the calendar.
Create and Share a Blank Calendar within Outlook’s Desktop App
To create and share an entirely new calendar, follow these steps within the Outlook desktop app.
Choose the calendar icon located in the lower-left corner.
On the Home Tab in the Manage Calendars Choose from group or select Open calendar.
Select Create New Blank Calendar.
In the Create New Folder Popup: Give the calendar name, and choose where you want it to be placed (e.g. as a subfolder in the main calendar folder).
The next step is to share the calendar by right-clicking on it in the calendar list.
Select Share > Share Calendar.
To add contacts to your sharing invitations, enter their email addresses or contact numbers. Add a message, if desired, and click Send.
How to add a shared calendar to Microsoft Teams

Select a channel in Teams.
Click the tab icon located to the right side of the channel’s name.
Select the search term you are looking for Channel Calendar.
The top-right corner of Teams will display a calendar tab. Channel members have access to event details, and can add events to their calendar. It is an excellent place to plan a Team meeting.
Group Calendar or Calendar Group?
Apart from creating group calendars, Outlook also offers several ways to organize calendars, and view multiple calendars at once. A calendar group is a method to view combined schedules. This can be used not only for people, but also for SharePoint and internet calendars.
How to create calendar groups in Outlook on the Web
Based on your organisation’s setup, there may be default calendar groups which could include:
You will find the calendar pane in the pane to the left. This is where you will find all calendars that are available to view. Select the calendar you want to view by right-clicking on Other Calendars or My Calendars New calendar group. More Click the icon with three dots next to any existing calendar group, and then choose New calendar group.
For the calendar group’s new press release, enter a name Enter.
You can add a calendar to your existing one by clicking the Add calendar You can link to the calendar pane and choose which calendar group you would like the new calendar added.
Select the Home tab.
In the Manage Calendars group, Calendar Groups > Create New Calendar Group.
You can give your new group of calendars a name, and then click OK.
In Calendar, Home tab.
In the Manage Calendars group, Calendar Groups > Save as new calendar group.
Select the group you wish to be included in and enter a name OK.
On the Home Tab in the Manage Calendars group, Open calendar.
Pick the type of calendar you want.
Search for names. Select the name that interests you and click “Next” Calendar. . Continue this process until all names are added.
You will see the calendars that you have selected in Shared Calendars group. Drag them and drop them into the Calendar Group you choose.
